      Dear 2026 Incheon Local Organizing Committee,
I think there is a little bit of a general misunderstanding here. The 
production is expected to be fully run by the local organizing 
committee. This is how it was done in 2024 in Eindhoven and 2025 in 
Salvador. The Federation does not have a dedicated team to run the 
production, especially not on such a short notice. Running the 
production includes the technical setup, but also the production team 
that oversees scheduling and direction on set, plus providing the hosts 
for the stream. As a Federation, we are happy to support in planning the 
production beforehand and on-site. For example, we happily facilitate 
the communication with the leagues, help the scheduling and get 
commentators for the individtual games from the leagues.
With more lead-up time, we would have been able to also provide more 
people to run the on-site production. We have experienced teams from 
2024 and 2025 and Germany; however, with less than two weeks of a heads 
up, there is little we can do. This is why we had asked you to meet with 
us already back in January. Unfortunately, we have not received any 
information or any request for help from your end until now.
Here is what we will be able to provide during the competition:
- Patricia, who is in CC and who has led the production last year, will 
be there to help you with the production and the scheduling. However, 
she has other duties to fulfill for the Federation, so she cannot be the 
lead producer. She will provide you with a minimum list of staff members 
that are required on-site to run the production shortly.
- We also have Sina joining us in person, who is a professional media 
engineer. She can produce break screens and animations for the stream.
- Junior has kindly agreed to make two volunteers available part-time 
that support the production, especially for the communication with the 
different teams on site.
- Our team will facilitate the communication with the leagues on-site 
and enusre each game has a commentator and people for interviews
- We may be able to provide support for the hosts of the stream. 
However, it is necessary for you to have at least two local hosts that 
are able to speak fluent English and Korean for the stream and that are 
happy to be on camera.
We have a set of additional questions for you:
- When will the cameras and the streaming setup be ready for testing?
- Will at least one camera plus crew be available on Wednesday already 
so we can record videos for cut scenes and breaks?
- Is there a studio setup planned, or where will the fixed camera be 
located?
- Do you have a professional editor who will be mixing the images from 
the different camera streams together?
Regarding the schedule: As RoboCup is a very dynamic event, the schedule 
for the next day will only be finalized the evening of the day 
beforehand. This will be done in cooperation with the individual leagues 
and is a complex process. It is set up to ensure that all leagues will 
get screen time and that we schedule each league when there is an 
exciting match or event happening. Patricia will be happy to help 
whoever leads the production on your end wth the scheudle.

Thank you for the questions — happy to clarify.
Regarding the streaming schedule, we plan to make the stream available for the full competition period, beginning on Thursday — consistent with how it was handled at last year's event in Brazil.
Regarding the second point, we would like to clarify our understanding as well.
The LOC is prepared to provide the streaming infrastructure and technical setup.
However, we would like to ask whether it would be possible for the RCF or the respective leagues to assist with providing hosts and league-specific commentators.
Could you let us know what level of support may be available from your side?

thank you for providing the details! We will discuss the outstanding

- What days are you planning to make the stream available? Only on
Sunday, or starting with the competition on Thursday?

  Please find below our current preparation status in response to your requirements.
1) Broadcast Schedule
  We will align our streaming operations with the schedule once it is shared by the RoboCup Federation. Please kindly share the broadcast(Competition) schedule at your earliest convenience so we can finalize our preparations accordingly.
2) Streaming System
  We have completed a preliminary review of the video setup and operating environment. Our camera setup will consist of three cameras in total:
  - 2 mobile cameras, each operated by a dedicated camera operator

In the event of any wireless connectivity issues on-site, we have prepared fiber optic cable as a backup to ensure stable streaming throughout the event.
3) Interpretation Support
  We will have dedicated interpreters on-site to facilitate smooth communication between all parties.
4) Streaming Software
  We will be using vMix software for broadcasting. We are ready to begin streaming as soon as the streaming key is provided by the RoboCup Federation.
5) Commentary Audio System
  Both wired and wireless microphones will be prepared. If there are any specific microphone requirements or preferences on your end, please let us know in advance and we will do our best to accommodate them.
Regarding commentary operations and interview procedures, we would appreciate further guidance from the RoboCup Federation on how you would like these to be handled.
  To allow us to finalize the details of our setup, could you kindly share the following information?
- Broadcast schedule and timeline
  - Commentary operations plan
  - Interview format and procedures
  - Leagues/matches to be streamed and their priority order
If the final schedule has not yet been confirmed, it would be very helpful if you could share the broadcast schedule or operations sheet used at last year's competition in Brazil as a reference.

4. Daily Delivery Process to the Federation Media Team
  - Photos and videos will be organized and compiled daily at 6:00 PM, and shared with the Federation Media Team via the preferred delivery method of your team.

In addition, we are planning to run on-site social media events during the competition period,

Regarding the first content piece, it is already scheduled for upload today and will proceed as planned.
However, we will certainly take your comments into consideration when preparing our upcoming content.
Our media team has already developed a content plan and prepared several materials in advance, but we will make every effort to incorporate more practical event information and local perspectives wherever possible.

Here is more information regarding the streaming setup required:
    - Minimum resolution of 1080p (1920 × 1080 pixels) with a frame rate of
    30 - please have a look at the Twitch FAQs for further information

- The setup of cameras and microphones depends on the setup you choose.
    At a minimum, you need to ensure that the cameras can provide HD videos
    for the full scale of an arena (e.g., in Soccer this would be up to 22m
    in MSL). Regular face cameras like webcams are not sufficient for that
    as they are not able to provide sharp pictures at that distance. The
    camera setup needs to be able to cover the entire arena or mobile enough
    to follow the robots operating in the arena (i.e., you need more
    stationary cameras that are not moveable to cover the entire field of
    play compared to having mobile cameras with camera operators).
- You need to have enough equipment to cover all or most of the Major
    finals on the last day. You may choose to switch cameras between setups,
    but you need to ensure that we always have a camera image to stream even
    if there is a reconfiguration of the setup going on
- You need to have enough microphones to provide commentary for all
    games that are streamed. This can include using audio equipment located
    at the fields anyway and ask teams to comment the games; or it can
    entail having a studio setup with just two microphones of people that
    comment all games.
- You need to have a dedicated setup to mix the different video and
    sound sources together. The final output of this needs to be ready to
    integrat with a standard Twitch stream. We will provide you with the
    streamkey for access. Any standard broadcasting software should be able
    to integrate with Twitch.
- For the English language commentary, you can either recruit people
    from the individual leagues to provide comments during the games, or
    have a dedicated studio-like setup with a fixed group of commentators.
    If you go for the latter, you need to ensure that your commentators are
    very knowledgeable in all leagues and have plenty of RoboCup experience
    to be able to talk though an entire stream

Dear 2026 Local Organizing Committee,
With less than one month remaining before the competition begins, we
      have not yet received the advertising materials required under the local
      host organizing committee agreement, apart from the mascot and logo.
As stipulated in the contract, all advertising materials were to be
      provided by the LOC no later than three (3) months prior to the
      competition. The material shall be of sufficient quality and content to
      enable RCF to promote the competition on its official websites, in press
      releases, and across social media channels.
We are aware of the @robocup_2026 Instagram channel established recently
      by your team. However, the content published there has been in Korean
      only and therefore cannot serve as the basis for RCF's international
      promotion efforts.
Given the proximity of the event, we ask that the following be provided
      immediately:
# Social Media Content Prior to Competition
- Two fully translated social media posts per week, beginning this week
      and continuing until the start of RoboCup, for a total of eight (8) posts.
      - Each post should include:
          - The share graphic(s) with English text;
          - An English caption suitable for publication.
You may either:
Publish the posts through your own Instagram account and invite
      @robocup_official as a collaborator; or provide the source materials to
      us by email, allowing us to publish them directly. Patricia, who is
      responsible for our social media posts from the Federation side, is in
      CC of this e-mail and you are welcome to contact her with the material
      for posting.
The preferred publication method is at your discretion.
# Social Media Coverage Plan
Please provide, no later than *12 June*, a plan outlining social media
      coverage during the event, including:
- The expected number of posts per day;
      - The number of posts that will be published in English;
      - The number of photographers and videographers assigned to event coverage;
      - The process by which photos and videos will be made available to the
      Federation Media Team on a daily basis
# Broadcast Production Plan
In addition, the hosting agreement assigns responsibility for the
      production of the competition finals broadcast to the LOC. As we have
      not yet received information regarding these arrangements, we also
      request that the following be provided by *12 June*:
- The broadcast schedule;
      - A high-level description of the technical setup, including the number
      and type of cameras and microphones available, and whether equipment
      will be fixed to specific leagues or used as portable units;
      - The organizations and personnel responsible for stream production,
      including any outsourced technical or production services;
      - The process by which raw footage will be made available to RCF for
      distribution via our Twitch channel;
      - The arrangements for providing English-language commentary during the
      broadcast.
We appreciate your prompt attention to these matters and look forward to
      receiving the requested materials and plans by the dates indicated above.
If there are any questions, the RCF Media team is happy to clarify them
      in a meeting.
